Privacy Policy — Basellimo Driver Operations

1. Controller and contact

Basellimo Driver Operations is an internal workforce and fleet operations application operated by:

2. Who may use the app

Basellimo Driver Operations is intended for authorised drivers, dispatchers and administrators of the company.

Driver accounts are created and managed by authorised administrators. The application is not intended for general public use.

3. Personal data processed

Depending on the user's role and use of the application, Basellimo Driver Operations may process the following information:

  • first and last name;

  • work email address;

  • internal account and user identifiers;

  • user role and account status;

  • work sessions, start and end times, breaks and working-time records;

  • leave and day-off requests;

  • vehicle assignments;

  • vehicle check-in and check-out information;

  • fleet status and operational records;

  • precise device location and GPS route points while a work session is active;

  • date, time and location accuracy associated with GPS points;

  • vehicle condition information;

  • vehicle and vehicle-damage photographs;

  • device and push-notification identifiers required for operational notifications.

The app is not intended to collect photographs of customers, drivers, identity documents or unrelated private information.

4. Purposes of processing

Personal data is processed only where necessary for legitimate workforce, transport and fleet operations, including:

  • coordinating and documenting transport services;

  • recording working time and operational status;

  • assigning and managing vehicles;

  • recording vehicle condition and damage;

  • providing dispatch and work-related notifications;

  • maintaining operational accountability;

  • supporting security and integrity of company records;

  • complying with applicable legal obligations;

  • handling legitimate insurance, employment or legal claims.

Personal data is not sold and is not used for third-party advertising.

5. Location and GPS tracking

Basellimo Driver Operations uses precise location during an active work session in order to record the driver's work route.

On Android, location tracking may continue while the app is minimised, in the background or not visible on screen. This is performed using a foreground location service with an ongoing system notification.

Location tracking starts only in connection with an active work session and stops when the work session ends.

Precise location is used only for workforce and transport operations. It is not used for advertising and is not intended to monitor private activity outside the work-tracking context.

6. Vehicle photographs

Photographs may be taken and stored for vehicle check-in, check-out, vehicle-condition and damage-management purposes.

Users should not intentionally photograph:

  • customers;

  • drivers or other individuals;

  • passports or identity documents;

  • payment information;

  • unrelated private information.

Vehicle and damage photographs may be retained where necessary for fleet management, accountability, insurance matters or legitimate legal claims.

7. Service providers

Basellimo Driver Operations uses external technical service providers necessary for the operation of the application.

These currently include:

Supabase
Used for authentication, application databases, storage and related backend services.

Firebase Cloud Messaging
Used to deliver operational push notifications and alerts.

These providers process information only as necessary to provide their technical services.

8. Data security

Basellimo Driver Operations uses technical and organisational measures designed to protect personal information.

These include:

  • authenticated user accounts;

  • role-based access controls;

  • Row Level Security on application data;

  • encrypted HTTPS/TLS connections;

  • restricted access to operational information;

  • private storage for protected photographs and evidence;

  • access controls separating drivers and administrators.

No system can guarantee absolute security, but reasonable measures are maintained to reduce the risk of unauthorised access, alteration, loss or disclosure.

9. Data retention

Retention periods depend on the type and purpose of the information.

Detailed GPS and route information

Detailed GPS coordinates and route points are retained for a maximum of 60 days and are then automatically deleted.

Specific information may be preserved for longer only where necessary for an identified legal obligation or legitimate legal claim.

Operational and employment records

Work sessions, working-time records, leave records, vehicle assignments and other operational or employment-related records may be retained for up to 5 years, where necessary for their stated purpose, legal obligations or legitimate claims.

Vehicle and damage information

Vehicle-condition records, damage reports and related photographs may be retained for up to 5 years, or longer where necessary for a specific insurance matter, legal obligation or legal claim.

Push-notification identifiers

Push-notification and device tokens are retained only for as long as necessary to provide operational notifications and are removed or invalidated when no longer required.

10. Account deletion

Users may request deletion of their Basellimo Driver Operations account and associated personal data.

A deletion request can be submitted:

  • inside the app under Profile → Privacy & account → Request account deletion; or

  • through the Basellimo account-deletion webpage.

Account deletion does not necessarily mean that every historical record can be deleted immediately.

Certain employment, working-time, fleet, damage, insurance or legal records may need to be retained where required by law or where necessary for legitimate legal claims.

Information that is no longer required will be deleted or anonymised where applicable.

11. User rights

Subject to applicable data-protection law, users may have the right to request:

  • access to their personal data;

  • correction of inaccurate information;

  • deletion of information that is no longer required;

  • restriction of certain processing;

  • information about how their data is used.

12. Employee privacy

Basellimo Driver Operations is designed for legitimate work-related operational purposes.

The application is not intended to monitor private behaviour outside the employment and operational context.

Processing should remain proportionate and limited to information necessary for the stated business and employment purposes.

13. Changes to this Privacy Policy

This Privacy Policy may be updated when the application, processing activities, service providers or legal requirements change.

The current version will be made available through the Basellimo website and within the Basellimo Driver Operations application.
